We're searching for an Executive Assistant, whose role will be to streamline our personal and business lives, and indirectly contribute to our broader mission in the medical industry.
This role demands a keen focus on project leadership, meticulous research about various topics, strategic hiring, and effective team management. YOU'LL BE WORKING WITH:
Two entrepreneurs, who have built a digital marketing company from scratch, now a global force across 20+ markets. Over a decade, they've been leading a team that's crafted a seven-figure profit annually, empowered over 20 million people each year to make informed purchasing decisions. Their next horizon? Revolutionizing the Medical industry with ambitions to extend health spans and transform healthcare. Though still at the idea stage, their journey will be their life's work, and promises to be groundbreaking.
Currently, they're operating from the Canary Islands, Portugal, and Latvia.
WHAT YOU WILL DO:
As an Executive Assistant, your job will involve handling a mix of tasks, mainly focusing on managing projects and people. These tasks cover personal matters and offer support in various business-related activities:
Project leadership and management - plan and execute projects of various complexity, such as:
- Manage all aspects of moving family to a new country, including housing, staff hiring, and logistics
- Oversee several rental properties in multiple countries, from tenant relations to maintenance and legal paperwork
- Buy and import goods to Tenerife (for example, a car that you can't buy on the Island, etc.)
- Incorporate new SIA on behalf of us in Latvia and internationally
- Manage records of various private companies by working closely with accountants and tax consultants
- Assist with creation and management of different legal documents regarding private and company matters
Hire team and contractors - lead hiring projects for a wide range of part-time specialists and contractors, for example:
- Find and evaluate the best professionals in the health and wellness sector - family doctor, dentist, dermatologist, nutritionist, personal trainer, private chef, etc.
- Hire your own team of part time assistants for more manual day-to-day jobs (virtual assistant, personal assistant, etc.)
- Hire and evaluate various contractors for housework - handyman, gardener, house cleaners, etc.
- Assist in hiring various business related specialists - tax consultants, lawyers, accountants, engineers, translators, public relations personnel, etc.
Manage your own team (staff) - hands-on manage variety of part-time specialists with whom we have recurring interactions, such as:
- Multiple assistants for location-specific tasks, such as car maintenance, grocery shopping, transportation etc.
- Contract based people of various specialities (accountant, nanny, handyman, nutritionist, personal chef, private doctor, etc.)
- Regularly evaluate their performance and quality of work, quickly spot issues and replace them with new hires, manage their payments, etc.
Perform in-depth research - to do your tasks well, you should be able to execute extensive research and be ready to understand vast array of topics, some examples:
- Conduct deep research across sectors, including healthcare, legal, tax, and household repairs, to identify and hire top-tier professionals
- Research and assist in dealing with various paperwork tasks, from real estate documents to company incorporation
- Search for the best travel destinations, hotels, restaurants, things to do, etc. for holidays and business trips
- Find the best purchases, for example household appliances, sports equipment, vehicles, real estate, etc.
Planning and building system for repeating processes - automate any repeating processes by building systems around them, for example:
- System to fully oversee and organize our calendars and schedules
- Monthly management of business and personal reports and statements
- System for delivery of healthy meals in various locations
- System for managing various rental properties
Initial communication and conflict-resolving - deal with any initial communication between us and 3rd parties, such as:
- Leading communication with contractors, service providers, staff, and other parties
- Conduct initial price negotiations for everything from contractor fees to purchasing or selling household items, vehicles, and homes
- Answering calls and emails for us when necessary
Performing more hands-on tasks, when necessary - you should be ready to perform more basic type of tasks when assistants are not available, for example:
- Assisting with transportation or shopping during travel
- Purchasing groceries or collecting pre-ordered items from the store
- Taking cars for routine maintenance and car wash
- Placing personal orders and handling package deliveries
- Listing and selling out-of-use personal belongings
YOU'LL BE A GREAT FIT, IF YOU HAVE:
Although we're expecting quite much from our future Executive Assistant, the most important thing for us is your attitude and willingness to develop yourself in this role. That said, this will definitely come in handy:
- Experience in managing complex projects, where you've had to do both research and execution, with many parties involved
- Previous work experience in managing people - preferably, you've done some hiring and day-to-day management
- Strong organizational skills - ability to manage multiple tasks and responsibilities efficiently, from the start till end, ensuring high quality execution
- Excellent communication and interpersonal skills - ability to build and maintain relationships, whilst also being a fighter for our interests
- Attention to detail - doing your job accurately, as well as being a strong negotiator, when needed
- Problem-solving abilities - being able to do extensive research to find the best solutions quickly and independently
- Flexibility and adaptability - being able to adjust plans and handle unexpected changes calmly and efficiently, as well as being able to travel a couple of times a year
- Language skills - fluent in Latvian and English languages
- Location: You should be based in Latvia with no plans for relocation
It's beneficial if you also have:
- Practical knowledge of the fields mentioned in Requirements (property management, accounting and legal services, travel logistics, healthcare systems, lifestyle services, financial management, and household operations, etc.)
- Proficiency in using various software and tools for managing calendars, bookings, paperwork, and overall organization for yourself and others
