We are looking for an Office Coordinator to join our Office Management Team in Riga. We are expecting a self-motivated multi-tasker and problem-solver who can manage time effectively and take immediate action to urgent tasks and requests, help to keep an organization running smoothly, take care of the administrative and organizational tasks in the office, support the executive teams day-to-day activities and assist with personal requests. This role includes occasional assistance outside of office hours as well.

Responsibilities:
- Ensure effective and smooth functioning of the offices;
- Manage communications, including calls, emails and documentation;
- Greet business clients, visitors and guests, and ensure high satisfaction among internal clients and stakeholders;
- Maintain office supplies, inventories and seating arrangements;
- Manage conference rooms and schedule meetings;
- Communicate with vendors, cleaning staff and ensure effective coordination of the administrative issues with internal cross teams;
- Support HR with candidate communication, greeting, and documentation flow;
- Prepare reports, meeting minutes, and support the executive team with their personal requests and commitments;
- Assist internal communication team with event organization.
Requirements:
- Availability to work from 11:00 to 20:00, Monday to Friday;
- Proficiency in English and Latvian, Russian will be considered as an advantage;
- Positive attitude; strong diligence, honesty, punctuality, communication skills, and accuracy;
- Excellent organizational skills with the ability to manage and prioritize multiple tasks with attention to detail;
- Outstanding interpersonal skills for working with high-profile individuals and collaborating effectively with internal teams;
- At least one year of experience as an office coordinator/administrator/receptionist in a highly multicultural fast-paced environment.
There is no one-size-fits-all here, we are quite flexible and use an individual approach with every candidate we meet. While getting familiar during our interview, we try to understand where your working experience, professional skills and future contribution to the company can be applied within our multiple business projects.
We don't want to set any limits, but if we are naming the numbers, then the salary for this position is 1300 EUR gross per month.
