Administrative Assistant reports directly to the Budget Analyst/ Foreign Military Sales Program Manager and provides administrative support and program management to the Office of Defense Cooperation in Riga, Latvia.

Duties
Office Management:

  • Manages the purchase, maintenance, replenishment and disposal of property and office supplies.
  • Manages motorpool fleet for daily use, fuel and service contracts, maintenance reports, drivers licensing, and safety training requirements.
  • Maintains filing system and manages correspondence.
  • Coordinates staff travel, including flight, hotel booking, and car reservations.
  • Coordinates logistics for VIP visits.
  • Schedules events in cooperation with Latvian government agencies.
  • Administers the ODC office calendar.

Assistant Training Manager:

  • Provides assistance to the ODC Training Program Manager in executing International
  • Military Education and Training program. Prepares travel authorizations, amendments, and voucher close-out. Manages and tracks student data base.

Protocol Event Coordinator:

  • Serves as Protocol Officer for all official ODC events. manages contracts for catering/transportation, providing translation for events, and direct coordination with local municipalities, Latvian National Armed Forces, Embassy Public Diplomacy Section, Ministry of Defense, and other governmental agencies in support of these events.

Other duties:
Serves as a driver when required, to include driving during VIP visits. 

Qualifications and Evaluations
Requirements:
Prior Work Experience: Three years of administrative work experience.
Start date: Candidate must be able to begin working within a reasonable period of time (4 weeks) of receipt of agency authorization and/or clearances/certifications or their candidacy may end.
Education Requirements:
Two years of post-secondary education (university/college/vocational) are required. Must have a valid type B driver's license. Must have had driver's license for a minimum of five years.

Evaluations:
LANGUAGE: 

Level IV (Fluent knowledge) English; level IV (Fluent Knowledge) Latvian, level II (basic) Russian. Language level may be tested for English and Latvian.

Qualifications:
Skills and Abilities: Individual must have excellent organizational and planning skills. Individual must have intimate knowledge of protocol and possess strong social skills to coordinate and socialize with U.S. Department of Defense, Latvia Ministry of Defense, and other international high-level representatives. Individual must have ability to gather pertinent information and aid in the development of various reports for submission and review by the Budget Analyst/FMS Program Manager. Individual needs abilities with MS Office programs.

Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Mission in Riga, may receive a compensation package that may include health, separation, and other benefits.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
