What are the responsibilities of an Office Manager/Administrator?

  • Office maintenance and organization
  • Communicating and organizing necessary vendors and services
  • Assistance in event organization (starting small weekly events to yearly corporate events)
  • Providing setup for new colleagues joining Scandiweb
  • Coordinating some nice office attributes such as weekly lunch, popcorn evenings, and such

Periodically there are additional tasks such as:

  • Organizing work trips abroad (scheduling flights, accommodation, activities, and such)
  • Organizing gifts to clients and/or colleagues (e.g around Christmas time, Women's day, and such)
  • Assist in organizing various Scandiweb organized events - conferences, meetups, and more

What does a day look like for an Office Manager/Administrator in Scandiweb?

Generally, every day starts with a nice walk around the office to check if there are no broken attributes/furniture, if everything is in order, all meeting rooms are set, and have everything necessary for people to have a great working day. If something is not right - it adds to the day's to-do list!

You will work with other Office Managers both from the office you're responsible for and other Scandiweb offices to plan and align some office activities and other aspects.

Our Onboarding Lead will have informed you timely of new people joining the office so you make sure everything necessary is prepared (welcome package, computer, charger, and such necessary things).

You will work with the event organizing team on the events planned for the week and help prepare all necessary things.

Throughout the whole day, you will be reached out by various colleagues on their requests, and questions so there will be a lot of communication!

What do we expect from you?

  • Ability to work from the Riga office (Old town near Galerija Centrs or Valdemāra Pasāža)
  • Great command of English (spoken and written), Latvian or Russian is an advantage, both - even better!
  • Similar previous experience is appreciated but not necessary. If you are fond of organizing, can't stand any kind of messes, and perform well with multiple various tasks then we welcome you to apply!
  • Full-time working schedule within the office hours (9.00 to 18.00)
