For our office in Riga we are looking for a Top Level Receptionist / Office Manager. The position requires full-time office presence.

Receptionist / Office Manager

The main duties include:

  • General Office Management tasks such as forwarding incoming mail, answering phone calls and redirect to corresponding person, ordering office supplies and manage inventory, organize courier shipments, resolving any related issues in a timely manner, etc.
  • Act as the first point of contact for all guests, clients and service providers
  • Ensure that guests and clients are always welcome and taken care of (offer coffee / tea, etc.)
  • Manage, prepare and clean-up meeting room (manage bookings, fill-up materials, tidy-up tables)
  • Make sure that reception area and office facilities are kept neat and presentable at all times
  • Ensure that office equipment is operational and appropriate inventory is in stock
  • Coordinate, organize and update meetings and conference calls
  • Phone and Email-correspondence in English, Russian and Latvian
  • Maintain office security by following safety procedure
  • Keep updated records of office expenses and costs
  • Provide administrative support to other colleagues when necessary

Requirements:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Excellent communication (written and Verbal) skills Latvian, English and Russian
  • Professional in Microsoft Office Suite, CRM 
  • Professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
