Position overview :
We are looking for junior assistant, who will support core operational, procurement, and quality teams and processes across allnex EMEA locations by ensuring accurate system data, efficient purchase-to-pay workflows, and high-quality documentation related to product and process changes.
The role plays a key part in maintaining data integrity in SAP/Ariba, supporting vendor and procurement processes, and ensuring compliance with Management of Change (MOC) requirements.
Responsibilities :
- Provide administrative support to allnex EMEA region manufacturing sites.
- Assist with vendor coordination, contract handling, and event-related budget tracking.
- Coordinate registration processes, prepare materials, and support global training programs.
- Support procurement activities: vendor creation, purchase requisitions, and purchase order management.
- Track purchase orders and invoices while maintaining accurate documentation and SharePoint access lists.
- Maintain contract data, support reporting, and manage internal requests and tickets.
- Perform general administrative tasks and support cross-functional coordination as needed.
Required skills and experience :
- Strong organizational and prioritization skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and meet deadlines.
- High attention to detail and problem-solving mindset.
- Proactive and team-oriented approach.
- Computer skills (MS Office: Word, Excel, PowerPoint, Outlook; general system literacy; SAP or similar tools is a plus).
- Proficient in English, both written and spoken, to communicate with a global organization and/or customers.
- Good German language skills (at least B1 level) with a motivation to further develop language proficiency.
